We, Synergy take the protection of your personal data very seriously. This is why it is important for us to identify how we process your personal data and the controls that you have over this.

This privacy policy sets out what personal data we will collect from you, how we collect it and our reasons for doing so.

Please note that this privacy policy does not apply to links within the Synergy website.

By accessing and using our website you agree to the terms of this policy. Any amendments to this policy will be identified on this page. By continuing to use our website after these amendments have been made you agree to the terms of the revised policy.

You can send us your feedback by using our feedback form to comment on the Synergy website and for technical queries, or to comment on content within our website.

Clients and Prospective Clients

When you subscribe to our website or newsletter, sign up to receive our white papers, complete a ‘Getting to Know You’ card at our live events, email us or follow us on Twitter or LinkedIn, we will collect some (or all) of the following personal data from you:

• Personal details, including your work, name, email address and birthday date;
• Contact details, including your address and your phone number;
• Details about your interests and how you like to spend your leisure time.
• Details about your views on current company challenges.

Candidates

When you visit the ‘Join’ page on our website, submit your CV and cover letter to hello@mccannsynergy.com.uk, apply for a role at Synergy on LinkedIn, or follow us on Twitter, we will collect some (or all) of the following personal data from you:

• Personal details, including your name, and email address;
• Contact details, including your address and your phone number;
• Employment details, including details of your current employer and your employment history;
• Details of your education and any relevant training;
• Details about your interests and what you do in your leisure time.

We will only use personal data from you in the following ways:

Under the General Data Protection Regulation (GDPR), we have a legal duty to protect any personal data we collect. We will only use your personal data for the purposes we have described above.

As part of our commitment to protecting your personal data, we will:

• keep your personal data confidential at all times, save where you have consented to us sharing it with our suppliers;

• only hold your personal data for the following periods:

Client personal data: 10 years (or longer where the relationship continues beyond this)

Prospective client personal data: 5 years

Candidate personal data: 2 years

• only process your personal data in accordance with the standards and procedures set out in our data security policy.

7. Sharing your personal data

We use our preferred service providers to deliver some of our services or to deliver services to us. So that they can do this, we may need to share your personal data with them. Any sharing of your personal data will only be carried out in accordance with our data security policy.

Clients and Prospective Clients

 

• Software and hosting providers: we use software providers to provide various software functionality to track enquiries and new business leads, to monitor client satisfaction and to provide cloud hosting services;

• Printers: where you have requested us to print materials for use in your campaigns;

• Social wall developers: where you ask us to create a social wall for you;

• Photographers: where you have requested us to provide photography for your campaign;

• Film makers: where you have asked us to create a video or short film for your campaign.  

Candidates

• Where you have applied for a role with us, you will be asked to complete a psychometric assessment. The psychometric assessment will be provided by our preferred service provider.

8. Any other disclosure

 

We may disclose personal data in the following circumstances:

• Business reorganisation: in the event that we undergo a business restructure, suffer an event of insolvency, merger, acquisition, sale, or any steps in contemplation of the same.

• Compliance with laws: to enable us to comply with our legal responsibilities and regulatory requirements that we are subject to, or to comply with any court orders.

• Prevention of fraud and the protection of our rights and those of third parties: to prevent and respond to fraud, and to defend our rights and those of third parties.

9. Transfer of personal data outside of the EEA

From time to time we may:

• use service providers that are based outside of the European Economic Area (EEA); or
• use service providers that use suppliers that are based outside of the EEA.

Where we transfer personal data to these service providers, before doing so we will ensure that there are adequate processes in place to protect your personal data. This includes where the service provider has obtained privacy shield certification.

By continuing to use our website or services, or submitting personal data to us, you consent to this transfer, storing and processing.

We do not direct services to children under the age of 18.

You have the right to:

• request a copy of the personal data that we hold for you,
• let us know if there are any errors in the personal data that we hold for you,
• request us to delete any of the personal data that we hold for you,
• Request that we transfer your personal details to another person.
